Treasurer (Executive Board Member)

The PTSA Treasurer is responsible for overseeing the finances of the organization. Responsibilities include:

  • Write checks in payment of authorized expenses.
  • Record all checks and deposits in Quickbooks.
  • Perform a bank reconciliation each month for each bank account (currently 3) when the bank statement is received.
  • Keep accurate records of all expenditures, including funds request forms, receipts, and other supporting documents.
  • Provide access to the financial records whenever requested by the PTSA board or general membership. This will include providing necessary documentation for the annual financial review at the end of the school year.
  • Report to board on activities.
  • Prepare a detailed report each month showing all income and expenses for board and/or general membership review.
  • Prepare and complete all required filings by IRS and Washington state agencies.
  • Attend the Washington PTA training session of “Money Matters.”
  • Chair budget committee in the spring to prepare budget for the following school year.
  • Perform all PTSA banking functions.
  • Maintain logins for Network for Good and various corporate gift matching sites and with the help of the VP of Fundraising, confirm matches with corporations as requested.
  • Manage direct deposits from donations, record in Quickbooks and provide VP of Fundraising with donor reports from various websites as needed.  Reconcile donations recorded in Quickbooks with Fundraiser’s records.

    General duties of all board members:
  • Support the President and help to provide leadership and direction to the organization.
  • Regularly attend monthly board meetings and four general meetings per year.
  • Be a member in good standing of the Hamilton PTSA by keeping your membership current throughout your tenure on the board.
  • Participate in at least 3 PTSA functions each school year.

This is an elected position.



Vice-President of Events (Executive Board Member)

The Vice President of Events should enjoy envisioning and overseeing events that promote community building and/or educational opportunities for the Hamilton community. Responsibilities include:

  • Work with Grade Level Liaisons to plan and execute events, including but not limited to Back to School events, Academic events, Social events and Service events.
  • Report to the Board as needed.
  • Working with President, find and arrange for guest speakers for 3-4 PTSA Membership meetings.

    General duties of all board members:
  • Support the President and help to provide leadership and direction to the organization.
  • Regularly attend monthly board meetings and four general meetings per year.
  • Be a member in good standing of the Hamilton PTSA by keeping your membership current throughout your tenure on the board.
  • Participate in at least 3 PTSA functions each school year.
  • Attend at least one Washington PTA training session each year.

This is an elected position.


But Wait! There's More!

We also have several non-voting positions available, which support the PTSA Board and serve important needs in the Hamilton Community. These jobs are open for the 2016-17 school year:

  • Reflections Art Contest Chairs – Organize and implement the annual PTSA Reflections Art Contest at Hamilton. This nation-wide contest invites students to reflect on a specific theme and create an original piece of work to submit in one or more of the following categories: Visual Art, Photography, Literature, Film Production, Dance Choreography, Musical Composition. We have lots of student talent at Hamilton. Help us show it off!  
  • Coordinator for Incoming 6th Grade Ice Cream Social  (May or June event) – Welcome incoming 6th grade students and families onto the HIMS campus to meet other incoming families and tour the school, all while enjoying ice cream sundaes. The organizer for this event would work with last year's organizer to follow a well-laid out plan from years past, and help coordinate a team of volunteers to set up, serve, and clean up.  Responsible for getting ice cream, toppings, and necessary bowls & utensils.
  • Coordinator for the 8th Grade Promotion Reception (June event) responsible for light decorations, cake and beverages at the reception following the ceremony. Volunteers to help with set-up, serving, and clean-up. 
  • Parent Coffee Hour Coordinator/Host – typically finds a sponsoring organization (past donors are Eltana Bagels and Starbucks), arranges to deliver coffee and treats and do setup for a coffee hour one morning each month.
